Adding Submission Fees

Applly supports optional submission fees for programs that require a processing fee or contribution from applicants. Fees are collected securely through Stripe before the application is finalized.

Enabling Fees for a Program

From the program settings page, find the Submission Fees section. Toggle Require submission fee to on, then enter the fee amount in dollars (e.g., $25.00). Click Save to apply.

Once enabled, applicants who complete the application form will be redirected to Stripe's secure checkout page to complete payment before their submission is finalized.

Fee Structure

Applly's fee structure is transparent and straightforward:

• Fee charged to applicant: The amount you set (e.g., $25.00)
• Stripe processing fee: 2.9% + $0.30 per transaction (charged by Stripe)
• Applly platform fee: 5% of the submission fee
• Your organization receives: The fee amount minus Stripe and Applly fees

For a $25.00 fee, the breakdown would be:

• Stripe fee: ~$1.03
• Applly fee: $1.25
• Organization receives: ~$22.72

You can see a real-time breakdown preview in the fee configuration section whenever you adjust the fee amount.

How Applicants Experience Fees

After completing the final step of the application form, applicants will see a clear summary of the fee requirement before being redirected to Stripe Checkout. After successful payment, they are returned to Applly with a confirmation message. Their submission is only recorded as "Submitted" once payment is confirmed by Stripe.

If a Payment Fails

If a payment fails, the applicant's submission remains in a "Payment Pending" state. They can retry the payment from their applications dashboard. You will not see the submission as "Submitted" until payment is successfully completed.

Refunds

Refunds must be processed through your Stripe dashboard. Applly does not currently support automated refunds through the platform UI. If you decide to refund a submission fee, update the submission status in Applly manually to reflect the outcome.
