Learn how to set up an application program from scratch.

Creating Your First Program

A "program" in Applly represents an open call, grant opportunity, residency, or any initiative that accepts applications. Setting up your first program takes just a few minutes.

Step 1: Navigate to Programs

After logging in to your organization dashboard, click Programs in the left sidebar. If this is your first time, you'll see an empty state with a prompt to create your first program. Click New Program to begin.

Step 2: Fill in the Program Details

You'll be asked to provide:

  • Program name — A clear, descriptive title (e.g., "2026 Artist Residency" or "Community Arts Grant — Spring Round")
  • Description — A brief overview of the program and what you're looking for in applicants
  • Open date — When applications open to the public
  • Close date — When applications close. Submissions are blocked after this date.
  • Status — Start with "Draft" while you're setting things up; switch to "Open" when you're ready to accept applications

Step 3: Build Your Application Form

Once the program is created, you'll be taken to the form builder. This is where you define the fields applicants must fill out. See Building Your Application Form for a detailed walkthrough.

Step 4: Publish Your Program

When your form is ready and you've reviewed all the settings, set the program status to Open. Applly will generate a shareable public link that you can post on your website, social media, or send directly to prospective applicants.

Tips for a Strong Program Setup

  • Use the description field to clearly communicate eligibility requirements and what makes a strong application
  • Set realistic open and close dates — give applicants at least 2–4 weeks to prepare
  • Preview your form from the applicant's perspective before publishing by clicking Preview in the form builder
  • If you need to pause accepting applications without closing the program permanently, you can switch the status back to "Draft"
